Cancellation Policy updated August 2026

1. Cancellation Notice Periods

Group Learning (clubs, camps, group sessions — in-person or online): Cancellations must be made at least 48 hours before the scheduled session.
Individual Learners (private tuition, 1:1 projects, personalised remote learning): Cancellations must be made at least 72 hours before the scheduled session, due to the dedicated staff time and resources reserved for individual learners.
Cancellations made after these deadlines may not be eligible for a refund, credit, or rescheduled session.

2. How to Cancel

For clarity and to protect both families and staff, cancellations must be submitted by email to [contact@southendmusictechclubs.co.uk] and cannot be accepted via text message, WhatsApp, social media, or verbal notice to staff.
Please include:

Learner's name
Club, session, or membership booked
Date of the session being cancelled
Reason for cancellation

3. When a Cancellation Becomes Official

A cancellation is not confirmed until a member of staff has replied to your email acknowledging receipt and acceptance of the cancellation. If you have not received this written acknowledgement, please assume your booking still stands and follow up to confirm.

4. Refund Eligibility

Refunds or credits will only be considered where:

The correct notice period (48hrs / 72hrs) was met, and
Cancellation was submitted by email, and
Staff have issued written confirmation of acceptance.
Refunds are not automatic and remain subject to review against these criteria.
